Sellfern is a specialized operating system for multi-channel e-commerce sellers. It centralizes order management, fulfillment automation, AI listing optimization, and financial reporting into a single unified workspace.
What marketplaces are supported?
Sellfern supports deep integration with Etsy, Shopify, Amazon, WooCommerce, and Faire. The platform is designed to act as a single source of truth across all these channels.
How do I reset my password?
Navigate to Settings → Change Password to update your password. Your new password must be at least 8 characters long.
How do I add team members?
Go to Settings → Users. As an admin, you can add new users and assign them one of the following roles: Admin, Manager, Support, Fulfillment Support, or Supplier. You can also restrict each user’s access to specific stores using the store selector.
Can I connect multiple shops?
Yes. In Settings → Stores, you can add multiple stores, assign each a unique store code, and manage their active status. This lets you consolidate orders from different platforms into one dashboard.
Sellfern uses Gmail Live Sync (via Google Workspace email receipts) and CSV imports rather than direct API polling. This approach prevents rate limiting and overselling.If orders are missing:
Open the Live Sync tab on the Orders page.
Scroll to the bottom and use the Debug Extraction tool.
Enter the specific Etsy Order # to see why an email may have failed to parse.
If orders are still missing after debugging, try starting a new sync with a narrowed date range and batch limit. Check the Sync History tab to see whether previous sync runs completed successfully.
How do I handle missing tracking numbers?
Orders stay in Processing status until tracking information is added. Once your supplier updates the tracking details, the status in Sellfern will update automatically.
What is the 'Out of Balance' tab?
The Out of Balance tab shows orders where the recorded totals don’t match the expected values. Review these orders to identify discrepancies in pricing, refunds, or fees that need to be corrected.
What does 'Failed Ingestions' mean and how do I fix it?
Failed Ingestions are orders that Sellfern attempted to import but could not parse successfully. This typically happens when an email receipt has an unexpected format.To fix a failed ingestion:
Go to the Live Sync tab on the Orders page.
Use the Debug Extraction tool at the bottom of the page.
Enter the Etsy Order # to inspect the parsing error.
If the issue persists, submit a support ticket with the order number and a screenshot of the error.
Navigate to Settings → Suppliers. From there you can manage your supplier list and configure the cost structures that Sellfern applies to your fulfillment calculations.
Why is my net profit showing incorrectly?
Net profit is calculated as Gross Profit minus Operating Expenses. If the figure looks wrong, check that your operating expenses are logged for the same time period you’re analyzing. Expenses entered for a different date range will not be included in the calculation.
How are analytics metrics calculated?
Sellfern uses the following calculation chain:

COGS is drawn from the supplier cost structures you configure in Settings.
How does ad spend VAT work?
Sellfern automatically adds 5% VAT to your recorded ad spend. You do not need to add this manually — it is applied when the expense is logged.
Listing Studio uses AI to generate and optimize product titles, descriptions, and shop stories. You provide your product images and details, and the AI produces listing copy tailored for your storefront.
For best results, use high-resolution images in JPG or PNG format. If a generation fails, check that your credit balance is sufficient before retrying.
What are credits and how are they used?
Credits are consumed each time you use an AI generation feature in Listing Studio, such as generating a title, description, or shop story. Your available credit balance is shown in your account settings.
Who owns the images generated by Listing Studio?
All images generated and processed by Listing Studio are 100% yours to use for commercial listings across any platform. Sellfern does not claim any rights to your generated content.

How do I clear the local cache?
If you see UI glitches or stale data, perform a hard refresh to clear the application state:

What do 401 and 403 API errors mean?
401 Unauthorized — Your session has expired or your credentials are invalid. Sign out and sign back in to refresh your session.
403 Forbidden — Your account does not have permission to perform that action. Contact your admin if you believe you should have access.
How do I contact support?
Go to Settings → Support Tickets to submit a new ticket. You can describe your issue, attach screenshots, and track the status of your request from the same page.
